Version 1.20.0

Historical patient cards, Myopia Management Reports and simpler staff access

This release makes it easier to bring handwritten patient records into
PractoPal, generate Myopia Management Reports and manage staff access.
It also improves prescription entry, customer notes and Sales Summary
reporting.

Store historical patient cards

A new Patient Cards tab in Customer Information allows
staff to upload and view historical handwritten patient records.

The tab supports image and PDF files, helping retailers keep older paper
records alongside a customer’s digital information.

Automatic PD totals

Patient Records now automatically calculate totals for
PD, PD Near and
Mono PD, reducing manual calculation during
prescription entry.

Myopia Management Reports

Users can now generate a report from a patient’s Myopia Management
record. Open the relevant record and select Print
to generate the report.

Staff permissions based on position

When creating or editing a staff account, selecting a Position now
assigns its permissions automatically.

Users can still adjust individual permissions to match the staff
member’s responsibilities.

Username login for staff

Staff can now log in with a username. A new
Username field is available when creating or
editing a staff account.

Consistent prescription values

Prescription values in Patient Records are now automatically formatted
to two decimal places for a more consistent display.

Clearer Sales Summary after refunds

Sales Summary now includes Total Refunds and
Net Sales After Refunds, giving retailers a clearer
view of sales after refunded amounts are accounted for.

In Yearly view, payment and refund details are now collapsed by
default to make the report easier to navigate.

More readable customer notes

Additional Notes in Customer Information now support
multiple lines of text, making longer notes easier to enter and read.

Flexible family accounts, detailed payment history and enhanced myopia management

This release introduces greater flexibility for family accounts and
expands the connection between Myopia Management and prescription records.
It also improves payment history, AutoSKU-er, wallet top-ups, appointment
timelines and follow-up scheduling.

Convert family members into individual accounts

Family members can now be converted into independent customer accounts.

This allows retailers to separate a family member from the main account
holder when they require their own customer profile and account access.

Faster access to family-member profiles

Family-member records now include a direct link to the child account,
allowing users to navigate quickly to the family member’s customer profile.

Retrieve RX information from Myopia Management

Users can now retrieve prescription information directly from Myopia
Management records.

This creates a more connected clinical workflow and reduces the need to
re-enter existing RX information.

More accurate follow-up scheduling

Follow-Up & Review within Myopia Management now supports
both date and time selection.

This allows practitioners to schedule follow-up appointments more
accurately and maintain clearer review timelines.

More detailed Payment History

Payments are now displayed as individual transactions instead of being
grouped together.

This improved view allows users to:

  • Review each payment transaction separately
  • Edit eligible payments directly within the Payment History
  • Select and print an individual payment transaction
  • Select multiple payment transactions and combine them in a
    Balance Receipt

These improvements provide clearer payment records and greater flexibility
when correcting or issuing payment documentation.

Create Receive Orders through AutoSKU-er

The AutoSKU-er workflow has been enhanced to allow users to create a
Receive Order (RO) directly.

This creates a smoother workflow from supplier invoice processing to
receiving inventory into the store.

Cashback disabled for Wallet Top-ups

Cashback is now automatically disabled when processing a
Wallet Top-up sale.

This prevents cashback from being earned on wallet funds being added to a
customer’s account.

Clearer appointment timeline status

Fixed an issue where the Appointment Timeline displayed the raw system
status check_in instead of the user-friendly label
Check-in.

Clearer Bulk Transaction Import requirements

The Bulk Import Transactions template has been updated to clearly identify
Order No. as a mandatory field.

This makes the template requirements clearer and helps reduce import errors
caused by missing order numbers.

Version 1.18.0

PractoPal Lite, bulk data migration and smarter appointment management

This release introduces PractoPal Lite, expanded bulk-import tools and a new
Release Notes experience. It also improves appointment management, family
account notifications, customer information, myopia management,
localisation and several important POS workflows.

Introducing PractoPal Lite

PractoPal Lite is a simplified version of PractoPal,
designed for retailers that need a more streamlined set of essential
features and workflows.

Expanded bulk data imports

New bulk-import tools make it easier for retailers to migrate existing
records into PractoPal.

Bulk Import now supports:

  • Customers
  • Transactions
  • Contact Lens RX records
  • Glasses RX records

These tools reduce manual data entry and provide retailers with greater
flexibility when managing their own system migration.

Automatic Missed appointment status

Appointments that have passed without being completed will now be
automatically marked as Missed.

This keeps appointment records accurate and gives staff a clearer view of
customers who did not attend their scheduled visits.

Improved appointment rescheduling controls

Rescheduling is now disabled for appointments with the following statuses:

  • Checked-in
  • Completed
  • Missed

This prevents appointments that have already progressed or concluded from
being rescheduled accidentally.

Family order notifications

Main account holders will now receive a notification when a linked child
account creates an order.

This gives parents and guardians better visibility into activity across
their connected family accounts.

New Release Notes popup

A mandatory Release Notes popup will now appear when users log in after a
new release.

The popup keeps users informed about the latest PractoPal features,
improvements and fixes. It will remain available for a configurable period
of five days following each release.

Clearer customer information

Customer Information tabs have been reorganised, with additional tabs added
to provide a clearer and more logical view of customer records.

Cleaner Eye Health records

Empty Eye Health records are now hidden, reducing unnecessary clutter and
making completed clinical information easier to review.

Enhanced Myopia Management

The Myopia Management experience and functionality have been enhanced to
support a clearer and more effective clinical workflow.

Localised appointment booking links

Appointment booking links used in POS Order Recall communications can now
be localised for each client.

This allows retailers to direct customers to the correct booking experience
for their individual business.

Automatic country and currency localisation

Country codes and currencies will now automatically follow the store’s
configured country settings.

Currency shown under Service Details will also update dynamically according
to the store’s country configuration.

Improved Product Voucher controls

  • Supplier and Brand fields are now hidden when
    Product Type is set to Services.
  • Fixed an issue where product vouchers could be applied to OL or CL items
    without an SKU being selected.

Clearer exchange restrictions

The Exchange Not Allowed message has been improved for
orders where a voucher has been applied, giving staff a clearer explanation
when an exchange cannot proceed.

Lab Order Form PDF improvements

The Lab Order Form PDF has been simplified by removing unnecessary fields:

  • Date of Birth
  • Contact
  • Address
  • Intraocular Pressure (IOP)

The Order Date display has also been corrected.

Edit Order out-of-stock fix

Fixed an issue where the original out-of-stock item was missing from the
Edit Order popup.

This issue could cause the item’s existing Purchase Order to be cancelled
and only a new Purchase Order to be generated. The original item and its
Purchase Order will now be handled correctly.

Appointment Calendar fix

Fixed an issue where switching from Week or Day view to Month view could
display a different month from the one currently being viewed.

Version 1.17.0

Smarter vouchers, flexible order cancellation and improved clinical records

This release introduces more targeted voucher campaigns, additional
voucher redemption filters and a new option for cancelling orders while
retaining customer deposits. It also improves clinical reports, myopia
management records, appointments and customer information.

Target vouchers to specific customer segments

Vouchers can now be assigned to specific customer segments when they are
created or edited.

This gives retailers greater control over promotions and makes it easier
to run targeted campaigns for selected customer groups.

Find vouchers more easily

Voucher Redemption now includes filters for:

  • Product Type
  • Voucher Type

These filters help staff find the appropriate voucher more quickly during
redemption.

Cancel orders without refunding the deposit

A new Cancel without Refund option allows staff to cancel
an order while retaining the customer’s deposit.

When this option is selected, the order will be cancelled without
processing a refund.

Clearer exchange-order controls

Orders containing a voucher can no longer be exchanged. If an exchange is
attempted, PractoPal will display an
Exchange not allowed message.

Orders using custom discounts can still be exchanged.

Notification status in the POS timeline

The POS timeline now displays the sent status of customer notifications,
giving staff clearer visibility into communications associated with an
order.

Improved Eye Health Reports

  • Eye Health Reports now include intraocular pressure
    (IOP) values.
  • Eye Health Report PDFs now use the information of the store that
    created the report instead of company-level information.

Save clinical records as drafts

Myopia Management and History Taking records now include:

  • Save as Draft
  • Publish Now

The record status will update according to the selected action, allowing
practitioners to complete and review records before publishing them.

Demo Receipt improvements

  • Added a Show Date of Birth checkbox. When it is
    unchecked, the customer’s date of birth will be hidden from the
    printed sample receipt.
  • When a family member is selected, the Demo Receipt now uses the main
    account holder’s information.

Appointment fixes

  • Corrected appointment status rules to prevent invalid status changes.
  • Fixed a one-hour time difference between Appointment Details and the
    calendar.

Customer and family-record fixes

  • Removed an incorrect “Male” placeholder from the Relationship field
    when adding a family member.
  • Fixed an issue where Gender appeared as “–” in Customer Records even
    when gender information was available.

Purchase Order fix

Fixed an issue where the PO Number was missing when a Purchase Order was
marked as received.

Version 1.16.0

Myopia management, faster customer searches and improved voucher controls

This release introduces the Myopia Management Module in Patient Records
and a dedicated Deleted view for Purchase Orders. It also improves
customer search performance, voucher configuration, stock alerts,
receipts and prescription displays.

Myopia Management Module

Patient Records now includes a dedicated
Myopia Management Module with two new tabs:

  • Myopia Management
  • History Taking

These new sections provide practitioners with a structured place to
record and manage information related to myopia care.

Track deleted Purchase Orders

A new Deleted tab has been added to Purchase Orders,
making it easier to identify and track deleted records.

Faster customer searches

Customer Search performance has been improved, helping staff locate
customer records more quickly during daily operations.

Improved voucher configuration

  • Fixed an issue that prevented vouchers from being created when
    Minimum Purchase was set to
    No minimum requirements.
  • Fixed an issue where changing Customer Eligibility from
    Specific Customers to
    All Customers was not saved when editing a voucher.

More accurate out-of-stock alerts

Fixed an issue where the Out of Stock alert did not appear when the same
item was added across several order lines and the combined quantity
exceeded available stock.

Clearer action notifications

Update notifications are now displayed after an action has been
completed, giving users clearer confirmation that the requested change
was successful.

Demo Receipt improvements

  • Added a checkbox to show or hide the customer’s date of birth on the
    Demo Receipt sample printout.
  • When a family member is selected, the Demo Receipt now uses the main
    account holder’s information.

Smoother order completion

After creating an order with the
Order Collected option, users are now redirected to the
Transactions list.

More accurate prescription display

DCL and CCL orders containing Service items now display only the relevant
Contact Lens RX.

This resolves an issue where the Glasses RX was displayed incorrectly
for these orders.

Version 1.15.0

Automatic RX expiry, multiple discounts and online appointment booking

This release introduces automatic prescription expiry dates, multiple
discounts within a single POS order, SendGrid marketing emails and
embeddable public appointment booking. It also improves family-account
visibility, payment history and large inventory imports.

Automatic prescription expiry dates

PractoPal now applies an expiry date automatically when a new
prescription is created:

  • Glasses RX: 12 months from the prescription date
  • Contact Lens RX: 6 months from the prescription date

This helps staff identify whether a customer’s prescription remains
current and supports more consistent prescription management.

Apply multiple discounts to one order

POS orders can now support multiple discounts within a single order,
giving retailers greater flexibility when applying eligible promotions
and price adjustments.

SendGrid marketing email integration

PractoPal now integrates with SendGrid for sending
marketing emails.

This provides retailers with an additional channel for communicating
campaigns, promotions and other marketing messages to customers.

Embed public appointment booking on your website

Public appointment booking links can now be embedded into a retailer’s
website.

This allows customers to book appointments online directly through the
retailer’s website, creating a more convenient booking experience.

Clearer family-account information

Customer Details and the Customer List now display the parent account
associated with each family member.

This makes connected customer relationships easier for staff to identify
and manage.

Improved YeahPay payment history

The YeahPay payment history interface has been enhanced to provide a
clearer and more user-friendly experience when reviewing payment
activity.

Faster large inventory imports

Bulk Inventory Import now uses pagination to improve performance when
processing large import files.

The enhanced import workflow can support files containing approximately
10,000 inventory items.

Business Intelligence reporting

The Sales section for the Customer Analysis and Product
Analysis Reports has been renamed
Business Intelligence (BI).

The updated name better reflects the analytical insights provided by
these reports.

New Product Analysis Report

The new Product Analysis Report provides greater

POS now supports GST or VAT exemptions during a sale.

Users can enable the exemption and record a reason, providing a clearer
audit trail for tax-exempt transactions.

Unaided VA in prescription records

Unaided Visual Acuity fields have been added to both Glasses RX and
Contact Lens RX records, allowing practitioners to capture more complete
clinical information.

Patient notification confirmation

A confirmation window will now appear before customer notifications are
sent while creating or editing Patient Records.

This helps users verify the action and reduces the risk of sending
notifications accidentally.

Expanded Frame and Sunglasses inventory details

Frame and Sunglasses inventory items now support:

  • Location
  • Product Image

The Bulk Inventory Import template has also been updated with a Location
column for Frame and Sunglasses item types.

New Beauty product category

A new Beauty product category has been introduced,
allowing retailers to organise and sell beauty-related products within
PractoPal.

Delete Receive Orders

Users can now delete Receive Orders through Receive Management when a
record is no longer required.

WhatsApp templates for order milestones

New WhatsApp message templates are available for the following customer
touchpoints:

  • Order Created
  • Ready for Collection
  • Collected

These templates help retailers send consistent and timely order updates
to customers.

Improved family transaction search

Users can now locate a family member’s transactions by searching with the
main account holder’s phone number.

Cleaner Inventory navigation

  • Removed the Add New Stock button from the Inventory
    screen.
  • Renamed View Inventory to
    Inventory.

Appointment improvements

  • Appointment Types that support image attachments now display the
    accepted file formats and maximum file size.
  • Fixed an issue where an error message appeared twice when creating a
    new appointment.
  • Fixed an issue where selecting Cancel in the Create Appointment window
    redirected users to the Patient Records list instead of closing the
    window.

Order, voucher and stock fixes

  • Collection Date is now populated automatically when completing an
    order if it was not entered during order creation.
  • Fixed an issue that prevented vouchers from being changed from a
    minimum purchase requirement to
    No minimum requirements.
  • Corrected the Transfer Stock button label to display
    Stock Received.

Bulk inventory imports, AutoSKU-er and WhatsApp templates

This release makes inventory setup faster with Bulk Inventory Import and
AutoSKU-er, introduces WhatsApp Templates for customer communication and
adds better controls for supplier brands. It also improves discount
validation, order completion and Daily Sales reporting.

Bulk Inventory Import

Users can now import multiple inventory items in bulk, making it faster
to set up products and reducing repetitive manual entry.

Introducing AutoSKU-er

AutoSKU-er converts uploaded supplier invoices into
structured inventory items automatically.

This reduces manual data entry and helps retailers create inventory
records more efficiently from their existing supplier documents.

WhatsApp Templates

WhatsApp Templates have been added under
Communication, giving retailers a central place to
prepare consistent WhatsApp messages for customer engagement.

Remove unused supplier brands

Users can now remove brands from the Brand dropdown under
Inventory → Suppliers.

This makes it easier to clean up duplicate or accidentally created brand
entries and maintain more accurate supplier information.

Improved order completion

  • Fixed an issue that prevented an order from being completed after an
    out-of-stock item was replaced with an in-stock item.
  • Fixed an issue where a Purchase Order could still be created for a
    removed out-of-stock item after the payment window was cancelled and
    the order was completed using another in-stock item.

More accurate voucher and discount rules

Fixed an issue where voucher and discount category restrictions were not
applied correctly.

Discounts will now be limited to eligible product categories according
to their configured rules.

Alphabetical Recall lists

Recall lists are now sorted alphabetically from A to Z, making customer
records easier to locate and navigate.

Updated Daily Sales layout

The Daily Sales screen and PDF report have been updated to improve
readability and usability.

Version 1.11.0

Manual sunglasses entry, invoice previews and editable completed orders

This release introduces manual sunglasses entry, invoice previews in
Receipt Settings and additional editing options for completed orders. It
also improves family-member documents, inventory workflows and access to
customer profiles.

Manual sunglasses entry

A new SUN-MANUAL item type allows staff to add
sunglasses manually to an order without first creating an inventory
record.

This provides greater flexibility when selling or recording sunglasses
that are not maintained in the store’s inventory catalogue.

Edit key details on completed orders

Users can now update the following information after an order has been
completed:

  • Reference Number
  • Acquisition Source
  • Notes

This allows important non-financial order information to be corrected
without reopening the full order.

Invoice preview in Receipt Settings

Receipt Settings now include an invoice preview, allowing users to review
how invoice information will appear before applying the configuration.

Improved family-member documents

When a family member is selected, invoices and collection slips will now
use the main account holder’s information.

Payment Mode on demo receipts

Demo receipts now display the selected Payment Mode,
providing a more complete preview of the final receipt.

Tax Settings relocation

Tax Settings have moved to:

Stores → Store Detail → Currency & Localization

This places tax configuration alongside the relevant store-level
currency and localisation settings.

Improved iPad SKU selection

The SKU Selection window on iPad has been enlarged to provide more space
and improve readability.

Allocated Quantity has also been removed from this window to simplify the
information shown during item selection.

Faster access to customer profiles

Customer names on the Transactions page now link directly to their
customer profiles, reducing the steps needed to access customer
information.

Clearer company and tax labels

  • Store UEN has been renamed
    Company Registration No.
  • Tax Identifier has been renamed
    Tax ID across both view and edit screens.

Fixes and reliability improvements

  • Fixed an issue where duplicating an SKU also copied its Allocated
    Quantity. New duplicated records will no longer inherit quantities
    reserved for existing orders.
  • Fixed an issue where the Salesperson shown on demo receipts always
    displayed the logged-in CMS user instead of the selected salesperson.
  • Fixed an issue where selected columns in the Inventory SKU list reset
    after viewing an SKU’s details and returning to the list.

Twilio SMS, wallet sharing and flexible split payments

This release introduces Twilio SMS integration, Wallet Balance Sharing
and more flexible split-payment editing. It also expands family access
in the mobile app, adds receipt customisation and provides clearer
cashback information for each order.

Twilio SMS integration

PractoPal now integrates with Twilio to support SMS communication with
customers.

A confirmation window will appear before a customer notification is
sent, helping users verify the action and reduce accidental messages.

Wallet Balance Sharing

The new Wallet Balance Sharing feature provides greater
flexibility in how wallet funds can be used across connected customer
accounts.

More flexible split payments

  • Existing split payments can now be edited, including changes to
    individual payment amounts.
  • A single payment can now be converted into split payments after an
    order has been created or payment has been completed.

These improvements allow staff to correct or restructure payment records
when a customer uses more than one payment method.

Family prescriptions in the mobile app

Main account holders can now view their family members’ prescription
information directly in the mobile app.

This provides families with more convenient access to connected Glasses
and Contact Lens prescription records.

Custom receipt headers and footers

Receipt Settings now allow retailers to customise the header and footer
information shown on printed receipts.

This provides greater control over the business information, notices and
other details presented to customers.

Cashback details for each order

Order Details now show the cashback amount earned and the cashback amount
applied for each order, giving staff a clearer view of cashback activity.

Select prescriptions while editing orders

Users can now retrieve and select existing Glasses RX and Contact Lens RX
records while editing an order.

Daily report view by default

All report types now open in Daily view instead of
Monthly view, giving users immediate visibility into the latest
operational activity.

Fixes and reliability improvements

  • Corrected the Right and Left indicators for Contact Lens products in
    POS and Invoice PDFs.
  • Fixed an issue where the pending payment amount appeared as a negative
    value when editing an order.
  • Fixed an issue where the Supplier field was not populated after
    creating a Glasses order without selecting options in the Lab Ordering
    Form.

Version 1.9.0

Manual frame entry, improved receive orders and family-order notifications

This release introduces manual frame entry, a more structured Receive
Order workflow and family-order notifications. It also improves recall
management, invoices, payment history, inventory search and POS
calculations.

Manual frame entry

A new FR-MANUAL item type allows staff to add a frame
manually to an order without first creating an inventory record.

This provides greater flexibility when selling or recording frames that
are not maintained in the store’s existing inventory catalogue.

Improved Receive Order workflow

The Receive Order workflow now includes clearer draft and approval steps,
along with updated editing permissions.

Inline item discounts in Receive Orders will also use percentage (%) as
the default discount format.

Family-order notifications

When a family member creates an order, the main account holder will now
receive both email and in-app notifications.

This gives main account holders better visibility into order activity
across their connected family accounts.

Model information in Inventory

A new Model column has been added to the Inventory
list, making it easier to identify and compare products.

Enhanced Smart Search for Inventory

Inventory Smart Search has been improved to help users find relevant
items faster and more easily.

More detailed invoices

Invoices can now include the following additional information:

  • PD and Height
  • Gender
  • Address

Edit Payment History

Payment methods can now be updated according to the payment date, as
long as Daily Sales for that date remain open.

Real-time inventory with Allocated Quantity

PractoPal now tracks Allocated Quantity when inventory
is reserved for an order.

Once an item is allocated, its quantity is deducted from the stock
available for sale and reserved against the relevant order. This prevents
the same inventory from being sold to another customer while it is
awaiting order completion.

By separating allocated stock from available stock, stores receive a more
accurate, real-time view of the inventory that remains available for new
sales.

Customer Wallet Balance

PractoPal now supports Wallet Balance, allowing
customers to top up their wallets and use the available balance to pay
for orders.

  • Customers can now top up their wallets and apply the available balance
    when paying for orders.
  • Wallet Balance has been added to the
